TO: Regional Master Planning Steering Committee Members

FROM: Marketa George Oliver, City Administrator

RE: Proposal Evaluation

Thank you for taking the time out of your schedule to be a Regional Master Plan Steering Committee member. As you know, the City recently solicited Requests for Qualifications (RFQ’s) to master plan the area identified on the City’s Comprehensive Plan map as "Regional Commercial".

As part of this packet, you should have a total of five (5) proposal responses, a total of five (5) score sheets, and a copy of the RFQ originally advertised by the City, soliciting proposals from planning firms. Please note that the cost proposals for the five bidders are included in a separate folder. I would ask that you wait until you have reviewed all of the proposals on all of the other elements, before your score the cost question.

The RFQ information specifically outlines what the City required, in the way of information, from each Prospective bidder. So, as you review each proposal response, please compare the information provided by each firm with the required information outlined in the Proposal Format/Submittal information and score accordingly, based on your individual assessment of how well each firm responded.

It is very important that each evaluation committee member review, evaluate, and score each proposal response individually. We are hoping to announce a short list of firms the week of February 20 moliver@cityofbondurant.com th, so if you could have your responses emailed to me no later than noon on February 20th, , that would be helpful. You can email your scoring at or drop them at City Hall. Once I receive all of the scoring sheets, I will compile all of the scoring results into a spreadsheet. Those results will determine how we proceed.

Thank you again, for your time and willingness to play such a critical role in the future of Bondurant!

If you need to contact me for any reason, either send me an email (moliver@cityofbondurant.com) or contact me by phone: 515.967.2418.
